Document creation:
Before creation of quotation, please ensure:
- All company and contact are associated
- All necessary properties had been filled in
- Line item are filled (For CINNOX SOF only, Please refer to line item creation ppt here)
Create quotation through Pandadoc:
- Netvigate to PandaDoc section in right-hand side of Deal Page
- Click "Create Document"
- Select suitable template (refer to above table)
- Select user for roles:
- Client: select customer contact and email. Contact associated in Deal page will be suggested for selection
- Account Manager: Select suitable account manager by typing account manager name. If cannot find suitable record, click "Add new contact" and type in Name, email, phone number, Job title and Company Name.
- Sales Head: Select suitable account manager by typing account manager name. If cannot find suitable record, click "Add new contact" and type in Name, email, phone number, Job title and Company Name.
- Select "Start Editing"
- All field retrievable from HubSpot will be filled in.
- Edit the remaining field or page if necssary.*
- For "ITFS DID Quotation", go to section B I, select pricing table. Click "+Product" then "Catalog" to select correct ITFS/DID product in PandaDoc Catalog. Further edit pricing item if necessary.
- Review all pages in documents
Send out quotation through email:
- For template that require legal approval, click "Send for Approval". Proceed to next step once legal had approved the document.
- Click "Send" on right upper corn
- Click "Send via email" (recommended)
- Enter documents name and click "Save and continue"
- Click Send Document
Check out recipents analytics:
- Documents will be seen in "Documents" section of main menu
- Inside documents page, user can view "Recipents analytics" and "Audit triails" at right-hand side section
