Status Name Details

Sales - KYC and pandadoc contract issuance

Step by Step guideline:

Step 1:

Virtual sales / reseller first use email contact potential customer with the email logged in HubSpot and company and contact record created in HubSpot. Then virtual sales / reseller create deal in PartnerStack, entering the company ID (please refer to appendix for deal registration form guideline). From PartnerStack-HubSpot integration, deal will be created in pipeline "PartnerStack Deal Pipeline" and ticket created in pipeline "PartnerStack Deal Registration and Provisioning". Email notification will be sent to virtual sales / partner's manager. Virtual sales might also refer here for more details.

Step 2:

Virtual sales / reseller should be upload the KYC documents to company page in HubSpot. If reseller do not have HubSpot access, please email to partner's manager and partner's manager will uplaod to company page in HubSpot.

Step 3:

Sales admin create Reseller SOF in corresponding deal via Pandadoc, using template "SOF_SOF_Direct Customer_2022 (EB) Standard Template". Related parties shall sign back the Pandadoc SOF with all deal information and end customer information filled in. Vritual Sales / partner's manager should check the customer signed SOF and signed. Then get Sales Head countersign.

Step 4:

Once Pandadoc SOF signed, virtual sales / reseller should change the PartnerStack deal stage to "Close won".  Virtual sales / partner's manager then prepare for number reservation ticket and provision ticket. If any virtual number required, virtual sales / partner's manager should create ticket in pipeline "Number reservation" and state the country and number of ticket required to reserve. IOD will reply the rerservation result in the ticket. Then, complete the CSR form 106 and upload to ticket in ""PartnerStack Deal Registration and Provisioning". Fill in the Virtual number details and effective date in the ticket and move the ticket to status "IOD - KYC approval and deposit invoice issuance".

Step 5:

IOD should crosscheck all KYC document and approve the ticket. Then issue invoice to customer  for deposit / prepayment collection. Virtual sales / reseller should upload the payment proof to ticket attachment after customer payment. Once the the payment is confirmed, IOD move ticket to status "Provisioning Team - Provisioning and approval".

Step 6:

Provisioning team should proceed the provisioning of service. After finished, upload the details of system generated activation email (e.g. login, password) to ticket note. IOD should send out official activation email to customer using email iod@cinnox.com.

Step 7:

Once the provisioning completed, IOD should check the company property "ODB company ID" are updated. Then change the HubSpot deal to "Closed won (Approved)". Mark ticket status to "Completed - Approved and customer email sent". Once the HubSpot changed to "Closed won (approved)", deal in PartnerStack will be approved and virtual sales / reseller can view the company in "Referral".
