Below part explains each HubSpot ticket pipeline status meaning.

Pipeline: PartnerStack Partner Application and Approval:

Status Name Details
Sales - Approach for Partner KYC PartnerStack admin creates and assigns ticket to sales. Sales should approach partner for KYC check and agreement signing
IOD - Partner document check IOD team checks all KYC document and forms submitted by sales.
Legal - Partner Agreement Check Legal crosschecks the partner agreement and KYC documents
Finance - Partner Agreement Approval Finance team approves Partner Agreement after reviewing the partner synergy and seek CEO consent.
PartnerStack Admin - Partner setup PartnerStack admin should approve partner's application in PartnerStack / send email invitation in Application Group. Then assign group and manager to partner
Completed PartnerStack admin should check again all system data are correct and mark completed

Step by Step guideline:

Step 1:

PartnerStack admin review pending application in PartnerStack dashboard "All Partners" -> "Pending Application". When reviewing application form, see if there is any sales preference requested by partner as stated in "CINNOX ACCOUNT MANAGER EMAIL ADDRESS (IF KNOWN)".

Step2 :

PartnerStack admin creates ticket in HubSpot pipeline "PartnerStack Partner Application and Approval" with status "Sales - Approach for Partner KYC". Assign "Responsible Sales" according to partner's preference. If no partner's preference, assign according to sales head's advice.

Step 3:

Sales will receive email notification by HubSpot ticket. Approach partner to collect KYC documentation, discuss and confirm the terms and arrange partner to sign the partner agreement via Pandadoc. KYC documents, partner agreement and CSR107 should be uploaded to HubSpot ticket attachment.  Finally, move ticket to status "IOD - Partner document check".

Step 4:

IOD department crosscheck the KYC documents and approve ticket. Move to status "Legal - Partner Agreement Check"

Step 5:

Legal crosscheck the partner agreement and KYC documents. Approve ticket and move to  Status "Finance - Partner Agreement Approval"

Step 6:

Finance department - CFO shall seek CEO consent and approve ticket. Move to status "PartnerStack Admin Setup"
Legal and Finance department should countersign on partner agreement.

Step 7:

PartnerStack admin approves application form. Navigate to "PARTNER MANAGEMENT" - "All partners", tick partner select box then click action - use "Assign manager" and "Update partner group"

Step 8:

PartnerStack-HubSpot integration had created new company and contact record in HubSpot. If partner had fill in the property"CINNOX ACCOUNT MANAGER EMAIL ADDRESS (IF KNOWN)", HubSpot will auto assign owner to new record. If not, PartnerStack Admin shall assign corresponding company owner in company page. Then click "View all properties" to check for property "PartnerStack Partner Key".

Step 9:

After checking, associate the newly created company to ticket by clicking "+Add" in ticket page right-hand side Company association section and move ticket to status "Completed".
